AI consulting and workflow audits

Know what to build before you build it.

We map how work actually moves through your business, find the repetitive tasks and costly handoffs, check what’s feasible with the tools you have, and rank every opportunity by value, effort, and risk. You leave with a roadmap you can act on, with us or without us.

Who it’s for

For when you need direction more than tools.

Consulting is useful on its own. You don’t need to commit to a build to start here, and you don’t need to start here to build.

Owners who sense the waste

You know hours are leaking somewhere and want it found and named before you spend on tools.

Operations leaders

You own the processes and want an outside map of where AI fits and where it doesn’t.

Teams with too many subscriptions

Several AI tools, overlapping costs, and no clear owner for any of them.

Companies planning a bigger push

You’re about to invest in AI, or in rebuilding how work moves through the company, and want the order right.

You might be here if

  • Everyone agrees AI should help, and nobody agrees where to start.
  • A vendor proposed a project, and you want a second opinion first.
  • Work sits in someone’s inbox before the next step can happen.
  • You pay for AI tools you can’t tie to any result.
  • You need a plan your own team or an agency can build from.

How we prioritize

Every idea, ranked by value, effort, and risk.

This is the shape of the ranking in your roadmap. The entries below are illustrative; yours come from your own processes, and each one carries the reasoning behind its place.

Do first

High value · low effort
  • Draft quote follow-ups from the CRM (low risk)
  • Turn meeting notes into assigned tasks (low risk)
  • Weekly sales and cash summary (medium risk)

Plan carefully

High value · high effort
  • Order intake from emailed purchase orders (medium risk)
  • Voice agent for customer inquiries (high risk)

Quick wins if time allows

Lower value · low effort
  • Rename and file scanned documents (low risk)
  • Draft internal announcements (low risk)

Leave for now

Lower value · high effort
  • Rebuild reporting in a new tool (medium risk)
  • Automate supplier negotiations (high risk)

What you get

What the audit produces.

  1. Process maps

How your key workflows run today, step by step, including the handoffs and the places where work waits.

  2. An opportunity list

The repetitive work, bottlenecks, and costly handoffs we found, and what AI could take on in each.

  3. A tool and subscription review

What you pay for, what’s used, what overlaps, and what’s missing.

  4. Feasibility and dependency notes

For each opportunity: whether your tools and data support it, and what it depends on, such as access, clean data, or a decision.

  5. A prioritized roadmap

Opportunities ranked by value, effort, and risk, sequenced into phases, with a clear first project.

  6. A findings walkthrough

We present the findings to you and your team and answer questions, so the plan gets used.

How it works

How an audit runs.

  1. Interviews

Short conversations with the people who do the work, not only the people who manage it.

  2. Mapping

We map each workflow in scope and mark the repetitive steps, bottlenecks, and handoffs.

  3. Feasibility checks

We test the promising ideas against your actual tools, data, and permissions.

  4. Roadmap

We rank the opportunities and present the plan, with the first project defined.

Examples

What an audit can uncover.

Illustrative scenarios that show the kind of work involved. They are not client results.

IllustrativeA property management company

The handoff nobody owned

Before
Maintenance requests arrive by email, text, and phone, and someone retypes each one into the work-order system.
After
The audit traces the delay to that one handoff. The first project on the roadmap is an intake workflow that turns each request into a draft work order for review.
IllustrativeA professional services firm

Three tools doing one job

Before
Different teams pay for three AI tools with overlapping features, and adoption is uneven.
After
The tool review recommends one platform, a context pack for the firm, and training for the teams that were left out.
IllustrativeA wholesaler

The right idea, in the wrong order

Before
Leadership wants an AI sales assistant first.
After
Feasibility checks show the customer data isn’t clean enough yet. The roadmap puts a data cleanup first and the assistant second, and explains why.

FAQ

Common questions

Do we have to hire you to build what the roadmap recommends?

No. The roadmap is yours, written so your own team, an agency, or we can build from it.

Is a workflow audit the same as the intro call?

No. The intro call is 30 minutes to understand your situation and see whether we’re a fit. An audit is a separate engagement with interviews, process maps, and a written roadmap.

How long does an audit take?

It depends on how many teams and workflows are in scope. We agree on the scope and timeline before we start.

What do you need from us?

Time with the people who do the work, a look at the tools involved, and someone who can make decisions about priorities.

Do you recommend a particular AI platform?

No. We work in Claude, ChatGPT, Codex, Cursor, Gemini, and Grok Bot, and we recommend whatever fits, including tools you already own. Sometimes the right first step is fixing a process before adding AI.

What happens after the roadmap?

Whatever you choose. Some clients build with their own team, some hire us for specific projects, and some bring us in for fractional implementation.
