Personal AI assistant setup and support

An AI executive assistant, set up for you.

We choose the right assistant platform, connect it to your email, calendar, and files, teach it how you like things done, and set firm limits on what it can do without asking. Then we show you how to delegate to it and review its work.

Who it’s for

For people whose time is the scarce part.

Owners and founders

Email, scheduling, and follow-ups run through you, and a full-time assistant isn’t in the budget yet.

Executives and partners

You have support, but the prep before meetings and the follow-up after them still land on you.

Independent professionals

Consultants, advisors, and agents who sell their time and want the admin around it handled.

Assistants and chiefs of staff

You support a leader and want an AI assistant working alongside you.

You might be here if

  • Your inbox decides how your day goes.
  • You walk into meetings without having read up on the people in them.
  • Commitments made on calls are forgotten by Friday.
  • You tried an AI assistant, connected nothing, and stopped using it.
  • You’d delegate more if you trusted what it would do on its own.

What it handles

Jobs you can hand off.

A typical day with a personal AI assistant. Anything that goes out under your name waits for your approval unless you decide otherwise.

Illustrative dayTimes and jobs vary with what you delegate.
  1. 7:00 am

    Daily briefing

Today’s meetings, who you’re meeting, overnight email that needs you, and deadlines coming up, in one message.

  2. 8:30 am

    Inbox triage

Messages sorted into what needs you, what can wait, and what it can draft a reply to.

  3. 10:45 am

    Meeting preparation

A one-page brief on the people and companies in your next meeting, with notes from your last conversation.

  4. 1:00 pm

    Research

A summary of a market, a vendor, or a question you texted it between meetings.

  5. 3:30 pm

    Follow-up draftsWaits for your OK

Thank-you notes and next-step emails after each meeting, ready for you to approve.

  6. 5:30 pm

    Commitments and documents

Promises you made today added to your task list, and the day’s files named and put where they belong.

Permissions and approvals

You decide what it does alone.

Before anything is connected, we agree on three lists with you. These are common starting points; yours will be your own.

Does on its own

Low-risk work that only you see.

  • Reads and sorts your inbox
  • Prepares briefings and meeting notes
  • Researches and summarizes
  • Files and renames documents
  • Updates your private task list

Drafts, then asks

Anything that leaves your desk waits for you.

  • Replies and follow-up emails
  • Meeting invitations and reschedules
  • Messages to clients or staff
  • Changes to shared documents

Off limits

Kept out of reach. Where a platform allows it, the permission is never granted.

  • Payments, purchases, or transfers
  • Sharing files outside your organization
  • Deleting email or documents
  • Accepting agreements on your behalf

Platforms

We help you pick the platform.

Assistant platforms change fast. We match one to how you work, what you already use, and how much access you’re comfortable granting, and confirm what it supports before we set it up.

What you get

What we set up.

  1. A platform choice

The assistant that fits your tools and comfort level, with the trade-offs written down.

  2. Your context and preferences

Who you are, how you write, your key people and clients, and how you like things done, set as standing instructions.

  3. Connections to your tools

Email, calendar, files, and the apps that matter, connected only as far as you approve.

  4. Recurring routines

Daily briefings, weekly reviews, and other scheduled jobs that run on their own.

  5. Written permissions

Your three lists, applied in the platform’s settings where it supports them and in the assistant’s instructions.

  6. Delegation coaching

How to hand off a task clearly and review the result quickly, practiced on your own work.

IllustrativeA founder of a growing firm

Mornings back

Before
The first hour of every day goes to reading email and checking the calendar.
After
A morning briefing lists the emails that need a decision, today’s meetings with prep notes, and this week’s deadlines.
IllustrativeA commercial real estate broker

Follow-ups that go out

Before
Notes from showings sit in a phone, and follow-ups go out days later, if at all.
After
After each showing, the assistant drafts the follow-up from the broker’s voice notes and adds next steps to the task list. The broker approves it before it’s sent.

Two assistants, one desk

Before
The human assistant spends afternoons formatting documents and chasing replies.
After
The AI assistant handles formatting and reminders, and the human assistant spends that time on the executive’s priorities.

How it works

How setup works.

  1. Map your week

We look at where your time goes and pick the first jobs to delegate.

  2. Choose and connect

We choose the platform, set up access, and connect only what those jobs need.

  3. Teach it, then you

We configure your context and routines, then coach you on delegating and reviewing.

  4. Adjust

Once you’ve used it on real work, we tune the instructions and add the next jobs.

FAQ

Common questions

What can a personal AI assistant actually do?

Read and sort email, prepare briefings and meeting notes, research, draft replies and follow-ups, organize documents, and keep track of what you’ve committed to. What it can do depends on the platform and on what you connect.

Will it send emails without me?

Only if you decide it should. Most people start with every outgoing message waiting for approval, then loosen that for low-risk messages once they trust the results.

Which assistant platform do you use?

The one that fits you. We help you choose among hosted assistants such as Claude, ChatGPT, OpenAI dots, and Grok Bot, and open-source assistants you run yourself, such as OpenClaw and Hermes Agent. We confirm what your chosen platform supports before anything is set up.

Is it safe to connect my email and files?

It’s a real decision, so we make it with you. We connect only what your chosen jobs need, use the platform’s own permission settings where they exist, keep risky actions off limits, and show you how to review and revoke access.

What is an AI executive assistant?

A personal AI assistant set up to do the work an executive assistant does: managing the inbox, preparing for meetings, following up, and tracking commitments, with you approving anything that matters.

Do you offer ongoing support?

Yes, as an option. Platforms change and so does your work, so some clients keep us on to adjust instructions, add routines, and fix connections.

Can you set this up for my whole team?

Yes. For a team, the AI Launch Program usually fits better: it covers tool selection, configuration, and training for everyone.
