Specialist · Voice agents and customer inquiry automation

Every call answered. The right ones handed over.

A voice agent picks up when your team can’t. It answers common questions, takes down new leads, collects appointment requests, and passes anything sensitive or complex to a person with the details already written down. What it connects to depends on your phone and scheduling systems, which we check first.

Who it’s for

For businesses that lose inquiries between calls.

Service businesses

Trades, studios, and agencies where the phone rings while everyone is busy with customers.

Small front offices

One or two people answering phones, email, and walk-ins at the same time.

After-hours demand

Inquiries arrive on evenings and weekends, when nobody is there to answer.

Repeat questions

The same questions about hours, service areas, and policies, all day long.

You might be here if

  • Calls go to voicemail, and the caller tries someone else.
  • Lead details end up on sticky notes, if they’re written down at all.
  • Your staff answers the same question many times a day.
  • Appointment requests arrive in three places and get missed.

How calls are routed

One call, four ways it can go.

You decide which inquiries the agent handles and which go straight to a person. These are the usual starting routes.

Inbound

A customer calls

The agent greets them, says it’s an AI assistant, and works out what they need.

What you receive

A voice agent with clear rules.

  1. Call script and FAQ set

The questions it answers, in your approved words, and the ones it never tries.

  2. Intake flows

What it asks for each kind of call, and where the information goes.

  3. Handoff rules

When it transfers or takes a message, and who gets the summary.

  4. System connections

Links to your phone line, CRM, and scheduling tool, where they’re compatible.

  5. Call logs and review

A summary of every call, and a routine for improving the answers.

Example

After hours, handled.

Illustrative exampleA home services company
  1. Before

Calls after closing go to voicemail, and many callers hang up without leaving a message.

  2. Set up

A voice agent answers after hours, covers service areas and hours, and takes job details for new requests.

  3. Handoff

An emergency, such as a burst pipe, triggers a call to the on-call technician with the caller’s details.

  4. Next morning

The office starts the day with a list of new requests, each with a written summary.

Where it landsAfter-hours inquiries arrive as written requests instead of unreturned voicemails.

FAQ

Common questions

Will callers know they’re talking to AI?

We recommend the agent says so at the start of the call, and some places require it. We write the greeting with you.

Can it book appointments directly?

If your scheduling system allows it, yes. Otherwise it collects the request and your team confirms it. We check which during setup.

What happens with a call it can’t handle?

It transfers the call or takes a message, following the rules you set, and sends a written summary so nobody has to call back without context.

Does it work with our phone system?

Often, through call forwarding or a dedicated number. We check compatibility with your phone, CRM, and scheduling tools before we agree on a scope.

Can it handle web chat and email too?

Yes. The same intake and FAQ logic can answer website chat and sort inquiry emails. We scope each channel separately.
